The ÀÖ²¥´«Ã½Â Law School welcomes applications for a Faculty Events Coordinator. This position coordinates and supports faculty-related events law school events, including logistics planning, organizing, marketing and messaging, and executing workshops, colloquia, conferences, and course-related events. This position partners and consults with event sponsors and faculty members, assists in determining program needs and costs, and works in collaboration with the Director of Events, the Associate Dean for Research, the Faculty Assistant Office, and other deans, directors, and faculty.

This position also provides professional administrative support to the Faculty Assistant Office under the direction of the Faculty Assistant Office Manager, including support during exam season, preparation of faculty course materials, and handling faculty reimbursements.

Key Responsibilities 

Plan and Coordinate Faculty Events

  • Plan and coordinate the annual programming of faculty-specific events and activities. 
  • Lead the logistical planning, scheduling, documentation, coordination of visitor travel arrangements, marketing and messaging, and budgeting of variable scale events and activities related to faculty events, including workshops, colloquia, conferences, and course-related events. 
  • Coordinate the annual faculty scholarship retreat in May, the Law School’s Colloquium Series, and the Works-in-Progress Series, among others. 
  • Coordinate event-related purchasing, reimbursements, petty cash, and expense reconciliation for all faculty-related events. 
  • Post all related events to the law school calendar, MyLaw internal website, and create and distribute applicable event marketing, working with the Director of Marketing and Communications.

Faculty Coordinator 

  • Support the Faculty Assistant Office, under the direction of the Faculty Assistant Office Manager, and provide general faculty administrative support during key times, including:
    • Law Examination Support: Assist Faculty Assistant Office in preparing midterm and final law examinations for faculty by proofreading, editing, creating accurate electronic documents, and programming exams into the Examsoft exam management program.
    • Technical and Administrative Law Faculty Support: Provide assistance in response to a variety of requests from law faculty to support their educational, research, and scholarship goals.
    • Financial Management & Procurement: Process domestic and international payments and reimbursement requests from law faculty in conjunction with events, utilizing Concur and Marketplace online systems for purchases.

Occasional night and weekend work may be necessary in order to provide event support.  

What We Require 

  • Bachelor’s Degree, preferably in business management, marketing, communications, or public relations. 
  • Minimum of one year of experience planning a variety of professional events, preferably in a university, academic, or legal setting. Equivalent combination of education and experience may substitute on a year for year basis. 
  • TIPS On Campus Certification and Campus Alcohol Policy training completion required within first three months of employment.

  • Microsoft Office (Outlook, Word, Excel, PowerPoint, Publisher)

What We Would Like You to Have

  • Proficiency in Adobe Creative Suite ideal but not required.
  • Experience with Salesforce CRM, Qualtrics, and event registration software, such as Cvent or Linvio.
  • Experience creating promotional materials and marketing events through multiple channels, including online, email, and print.
  • Experience negotiating contracts or event bids with vendors, including caterers and rental companies.
  • Experience creating and managing budgets, and reconciling expenses. Concur Travel and Expense Management and CU Marketplace experience ideal but not required.

Salary Range Starts at $44,000.
